Parties/Private Hire T&Cs

By booking a Private Hire or Birthday Party at AirAcro Gymnastics, you agree to the following terms and conditions:

- A non-refundable full payment is required to secure your booking.
- Your date and time are not confirmed until the payment is received.

All payments are non-refundable.
Bookings may be rescheduled, however bookings are based on a first come first serve basis and are subject to availability.
Rescheduling requests are required at least 2 working days prior to the original booking.
No refunds will be provided for non-attendance or reduced guest numbers.

Capacity of private hire is on a per basis, however advised no more than 40 due to the venues size.
Birthday party packages include up to 16 children.
Additional guests may be permitted at a rate of the total cost/16 as per our website, subject to capacity limits.
Final guest numbers must be confirmed at least 1 days prior to the event.
We reserve the right to refuse entry once maximum capacity is reached.

Gymnastics qualified staff will supervise throughout and offer activities during the allocated gym time.
The Party Childs Parents/guardians must remain on-site for the duration of the party.
The booking parent is responsible for guest behavior outside structured activity time (e.g., food area).

Depending on the hire agreement:
- With staff supervision: Participants must follow all instructor directions.
- Without staff supervision: The booking party accepts full responsibility for supervision and safe use of equipment.
Depending on the booking, suitable ratios must be maintained at all times as per British Gymnastics rules unless stated by the booker, in which the moves liability to the booker of the private hire.

Upon booking the booker understands and waivers for all appropriate participants entering.
Waiver may be required depending on the booking/private hire.
Participants must follow all safety rules and staff instructions.
Anyone acting in an unsafe or disruptive manner may be removed without refund.
Only authorised participants may access gym equipment.

Food and drinks are permitted in designated areas only.
No food or drink allowed on the gym floor.
No nuts or nut-based products (if applicable).
No glitter, silly string, smoke machines, or open flames (except supervised birthday candles).
Decorations must not damage walls, ceilings, or equipment.
All rubbish must be removed or placed in designated bins at the end of the hire period.
Any other equipment or decorations required must be disclosed in advance or be prepared for these to be refused on the day of the party/hire.

Hire time includes setup and pack-down unless otherwise agreed.
Access to the venue will only be granted during the booked time slot.
Early arrival is not guaranteed unless pre-arranged due to other bookings and classes.

The booking party is responsible for any damage caused by attendees.
Costs for repair or additional cleaning may be charged to the booking parent/organiser.
Equipment must be used for its intended purpose only.

Participants who are unwell must not attend.
We reserve the right to refuse entry to anyone showing signs of contagious illness.
No refunds will be issued due to minor illness-related absences.

Photos or videos may be taken for promotional use.
Please notify us in writing prior to the event if you do not consent to media use.

Gymnastics and physical activity carry inherent risks.
By booking, you acknowledge and accept these risks.
AirAcro Gymnastics, its staff, and contractors are not liable for injuries sustained where safety rules have not been followed.
The booking party agrees to indemnify AirAcro Gymnastics against claims arising from misuse of the facility during private hire.

We reserve the right to end any booking without refund if:
- Safety rules are ignored
- Aggressive or inappropriate behaviour occurs
- Terms & Conditions are breached
